Two voice agents on one calendar: an inbound receptionist that answers every call and books, reschedules, or cancels appointments, and an outbound agent that calls every new booking to say thank you and set expectations.
Project overview
Missed calls are missed bookings, and booked calls that nobody follows up are where no-shows come from. The inbound agent answers every call in a natural voice, looks up the caller's booking and live availability, and schedules, moves, or cancels the appointment while they are still on the line, against the business's own calendar. The outbound agent picks up every new booking, researches who booked, and calls to thank them, explain what the meeting will cover, and tell them what to prepare.
Our approach
Both agents run on n8n with Vapi handling the call and ElevenLabs the voice. Inbound requests are routed by intent (schedule, reschedule, or cancel), checked against Cal.com and Google Calendar, and answered back to the call in real time. The outbound agent uses xAI Grok to research the lead and write a personal opener and prompt for each call, then reads the finished call to record the outcome: a calendar event, an Airtable record, a text to the lead, and a Telegram alert to the team.
